This privacy policy explains how Novogin processes personal data when you visit novogin.com, place or discuss an order, request product documentation, contact support or otherwise use the website.

2. Personal data we process

  • name, contact details and any organisation or role information supplied voluntarily;
  • billing and delivery details;
  • declarations about age and research-only use; specific additional information where necessary for legal compliance, fraud prevention, payment or delivery;
  • order, invoice, payment status, refund and fulfilment details;
  • carrier, tracking and delivery information;
  • emails, form submissions, WhatsApp messages and other support correspondence;
  • enquiries about products, batches, certificates and documentation;
  • IP address, browser, device, timestamps, requested pages, security events and cookie preferences.

Do not send medical histories, diagnoses, prescriptions, dosing information, adverse-event details or payment card details through free-text fields, email or WhatsApp. Novogin does not request health data for routine orders or support.

3. Sources

We receive data directly from you or your organisation, from activity on the website and from service providers involved in payments, security, communication, delivery and fulfilment. We do not request proof of professional researcher status for routine access.

4. Purposes and legal bases

  • Website operation: providing requested functionality and maintaining secure sessions; based on steps prior to or in performance of a contract and legitimate interests.
  • Orders and payments: assessing, accepting, managing and documenting permitted transactions; based on a contract and legal obligations.
  • Research-use self-declaration: processing your own declaration about age and research use; no general independent verification of professional researcher status. Targeted checks may be necessary for legal compliance or fraud prevention, based on applicable legal obligations and legitimate interests.
  • Delivery, complaints and support: fulfilment, tracking, documentation requests, issue resolution and refunds; based on a contract, legal obligations and legitimate interests.
  • Administration and compliance: maintaining tax, accounting and legal records and responding to competent authorities; based on legal obligations.
  • Security and fraud prevention: protecting users, payments and systems and investigating abuse; based on legitimate interests and legal obligations.
  • Non-essential cookies, analytics or marketing: used only where a valid legal basis exists, including consent where required.

5. Payments

The payment methods actually available are shown at checkout. Payment data is processed by the selected payment provider. Novogin receives the information needed to complete the transaction, such as payment status, method, reference and limited fraud-prevention information, and does not knowingly store complete payment card details.

6. Forms, email and WhatsApp

Information submitted through a form, email or support channel is used to respond, document the request and protect the service. If you contact Novogin through WhatsApp, WhatsApp and Meta may process communication, account, device and metadata under their own privacy terms. WhatsApp must not be used for health information, payment card details or confidential laboratory data.

7. Cookies

Strictly necessary cookies may support security, sessions, baskets, and language and privacy choices. Non-essential analytics or marketing technologies are used only where legally permitted. Where consent is required, visitors must be able to reject non-essential categories and withdraw their consent.

8. Recipients

Data may be shared only where necessary with hosting and IT providers, WordPress and WooCommerce service providers, payment and fraud-prevention providers, communication providers, fulfilment partners, carriers, professional advisers and competent public authorities. Each recipient should receive only the information needed for its role.

9. International transfers

Some service providers may process data outside the European Economic Area. Where European data protection law applies, Novogin will use an applicable transfer mechanism and additional safeguards where necessary.

10. Retention periods

Personal data is kept only for as long as reasonably necessary for the purpose for which it was collected and for applicable accounting, tax, security, fraud-prevention, complaint, recall and legal-claims requirements. Retention is determined by the type of record, the status of the order, statutory periods, active disputes and the need to demonstrate lawful processing. Data that is no longer needed is deleted or anonymised where reasonably possible.

11. Security

Novogin uses technical and organisational measures to protect personal data, including access restrictions, system maintenance, backups and restricted administrator access. No internet service can guarantee absolute security. Users should report suspected unauthorised access promptly.

To the extent provided by applicable law, you may request access to, correction, erasure, restriction or portability of your data, object to certain processing, withdraw consent and object to direct marketing. Statutory exceptions may apply, for example where data is needed for administration, fraud prevention, complaints or legal claims.

13. Children

The catalogue is intended for research use by people aged 21 or over and is not directed at children.

14. Automated checks

Automated security and fraud signals may be used to support an assessment. Novogin does not intend to make decisions producing legal or similarly significant effects solely by automated means without the information and safeguards required by law.
